The short version. South African law gives you a route to request records held by a private company. This page explains who to ask and how. Our PAIA manual is available free on request.
1. About this page
The Promotion of Access to Information Act 2 of 2000 ("PAIA") gives effect to the constitutional right of access to information. It requires private bodies, including companies like ours, to make a manual available explaining what records they hold and how to request access to them.

4. Our PAIA manual
Our PAIA manual is available free of charge. You can request a copy by emailing info@stellenbaugroup.co.za, or collect one from our address during business hours. A copy is also available for inspection at our offices.
5. The kinds of records we hold
Not all of these are automatically available — access depends on PAIA. Broadly, we hold:
- company records: registration documents, statutory records, insurance;
- financial records: quotes, invoices, statements, tax records;
- client and project records: correspondence, contracts, drawings, site records, photographs, snag lists;
- supplier and subcontractor records;
- employment records: contracts, payroll, health and safety records;
- records we must keep under other laws, including the Companies Act 71 of 2008, the Income Tax Act 58 of 1962, the Value-Added Tax Act 89 of 1991, the Basic Conditions of Employment Act 75 of 1997, the Occupational Health and Safety Act 85 of 1993 and POPIA.
6. How to request a record
- Complete the prescribed PAIA request form, available from the Information Regulator's website at inforegulator.org.za.
- Send it to the Information Officer at the address or email address above.
- Provide enough detail for us to identify the record and to identify you, and say how you would like to receive it.
- If you are requesting the record in order to exercise or protect a right, say which right — PAIA requires this for requests to a private body.
- Pay the prescribed request and access fees where they apply. We will tell you what is payable before we process the request.
We will respond within 30 days, as PAIA requires. That period can be extended in the circumstances PAIA allows, and we will tell you if that happens and why.
7. When access may be refused
PAIA sets out the grounds on which access must or may be refused. These include the protection of someone else's personal information, commercial information of a third party, confidential information, legally privileged records, and records whose disclosure would harm someone's safety or property. If we refuse, we will tell you which ground we are relying on and how to take it further.
8. If you're unhappy with our decision
You may lodge a complaint with the Information Regulator, or apply to a court, in the manner and within the periods set out in PAIA. Details are published at inforegulator.org.za.
